Roll out Duaer to your company: the admin checklist
Eight steps take an organization from sign-up to employees asking Duaer every day: people and sign-in, knowledge sources, a check of members and answers, the chat bot, the employee portal, and what to turn on next.
Before you start
- You need to be an owner or admin of the Duaer organization. Only owners and admins add knowledge sources.
- For each system you connect (Feishu, WeCom, DingTalk, Slack, Microsoft 365, Google Workspace and so on) you need one of its admins to create an app or grant permissions.
- Duaer is an online service. There is nothing to install.
1. Bring in the other admins
Invite colleagues by email in the organization settings, and give the Admin role to those who will look after knowledge sources and the employee portal with you. See Invite members and set roles.
2. Turn on company sign-in (optional)
If your company already signs in through Google Workspace, Microsoft Entra ID, Okta or another OpenID Connect provider, turn on organization SSO: employees sign in with their company account and use one less password. See Sign in to Duaer with your company account.
3. Connect where your company’s knowledge lives
- Start with the chat tool your company uses every day (Feishu, WeCom, DingTalk, Slack or Microsoft Teams) and the shared drive. Most policies, procedures and project documents live there.
- Open Data sources in the sidebar, select Add source and choose the system, choose Knowledge source under Add as, then choose the credential and click Connect. The first indexing pass starts right away.
- Then connect CRM, service desk, ticketing and wiki systems.
How to connect each system, what Duaer reads and who finds what: Knowledge sources you can connect to Duaer.
4. Check that members are matched
Duaer matches members to their accounts in each system by email. A member who is not matched finds nothing from that system. The Feishu and WeCom source cards show how many members are known there, and Show members lists who is missing.
Where emails differ, employees click Link Feishu account or Link WeCom account under Knowledge base on the Duaer employee portal, or an admin maps them on the source card.
5. Check the answers with real questions
- Collect 10 questions people really ask, such as expense limits, how to request leave, or a customer’s contract terms.
- Ask each in Duaer and open every citation: is it the right file, and the latest version?
- Ask again signed in as an ordinary employee, and check they do not see files they should not.
- For a question that comes up often and is easy to get wrong, save a verified answer; Duaer shows it first. See AI answers with citations and no hallucination.
6. Turn on the Duaer bot in your chat tool
People ask most often where they already chat. Turn on the bot on that source, and employees ask it in a direct message or by mentioning it in a group. Setup for each tool: Feishu, WeCom, DingTalk, Slack and Microsoft Teams.
7. Invite employees to the Duaer employee portal
The employee portal is where employees handle their tasks, follow metrics, ask Duaer and write documents every day. Invite them by email; you can bind your own domain and use your company’s logo and color. See the Duaer employee portal.
8. Turn on what comes next
- Daily digest: one message a day per person with what is due and what waits for their decision. See A daily digest of decisions due.
- Actions: employees start a workflow while asking Duaer, and it runs only once they confirm. See the Duaer employee portal.
- Data questions: open Snowflake, BigQuery or Databricks tables to chosen people. See Turn your drives and documents into a knowledge base.
- Assistant templates: employees build their own assistants from templates, which run on a schedule or when content changes. See employee assistants.
- Browser sidebar: search and ask beside any web page. See Duaer browser sidebar.
Once people use it, open Duaer Settings › Organization › Usage: active people and their share of members over 7, 30 or 90 days, active people per day, and people and uses by channel, feature, department and assistant. It shows counts only, never anyone’s questions or own use; departments of fewer than 5 members are counted under Other. What people search and ask is under Search analytics in the knowledge base.
Questions
How soon after connecting can people find things?
The first indexing pass starts as soon as you connect. After that, most sources read changes every 10 minutes, Google Drive and Microsoft 365 every 4 minutes, and who may open each file every hour.
Do employees need to install anything?
No. The employee portal opens in the browser, and the bot is in the chat tool your company already uses. The browser sidebar is optional.
Who can add knowledge sources?
Owners and admins of the organization. Members can only link their own accounts on the employee portal, or connect their own mail, calendar and personal documents.

Knowledge sources you can connect to Duaer
Chat tools, drives and documents, CRM and service, mail and meetings, data warehouses: what each source reads and how to connect it, and how the Duaer bot works in each chat tool.
TroubleshootingTroubleshoot the Duaer knowledge base
Someone finds nothing, a change has not shown up, a removed share still works, a source needs attention, the bot does not reply: the ten most common knowledge base problems, with causes and fixes.
Knowledge sourcesConnect Feishu to the Duaer knowledge base
Index Feishu wiki spaces, Docs, Base and drive files, and optionally group chats and Minutes, with Feishu’s own sharing; employees can also ask Duaer in Feishu.
Knowledge sourcesConnect Slack to the Duaer knowledge base
Index the last 30 days of chosen Slack channels, threads included: public channels for the workspace, private ones for their members only. Employees can also mention Duaer or message it directly.
Employee portalGive employees their own Duaer employee portal
The Duaer employee portal is a separate sign-in address for each organization. Employees see the tasks and decisions workflows push to them and the metrics they follow, and can ask Duaer about them, without opening the workflow editor.
Knowledge baseAI answers with citations and no hallucination: how Duaer does it
To get AI answers with citations and without made-up facts, do three things: answer only from documents the person may read, mark which file each statement comes from, and give no answer when there is no source. The Duaer knowledge base answers this way by default.
