Follow up on overdue work without chasing people: how Duaer does it

To follow up on overdue work without chasing, each item needs one owner, a clear date, and something that asks for an outcome once the date passes. Duaer does this with card rules and the employee portal: overdue items show up for their owner every day, what gets worse if it waits comes first, and every decision is recorded.

Why does cross-team work always need chasing?

  • There is no single owner, so everyone assumes someone else has it.
  • The deadline lives in meeting notes and is forgotten within days.
  • The person chasing has nothing to point to, and the person chased doesn’t know what to do.
  • When it’s done, nobody records it, so the same question comes back next time.

How does Duaer do the chasing?

Duaer works in four steps: spot, notify, back it up, close out.

  • Spot: each morning Duaer checks every card rule for items that are due soon or overdue and still open.
  • Notify: the card goes to the owner’s home page in the Duaer employee portal. Organizations on Feishu can also turn on Send cards to their owners and decide in Feishu with one click.
  • Back it up: the card shows which rule was crossed, the facts, and a reading. Related documents lists knowledge base documents that mention the item’s ID, and Ask Duaer answers questions about it.
  • Close out: the owner picks an option and the status is written back to Duaer cases. Even Not today is recorded on the item’s path.

How do you get started?

  1. Put the items to follow up in one sheet: ID, owner email, and due date.
  2. On Duaer cases, click New card rule, paste the sheet, and set the options and Remind days before.
  3. Invite the owners to the Duaer employee portal with the Employee role, or let them receive cards in Feishu.
  4. Turn on the daily digest so each person gets one summary a day.
  5. If something should happen automatically after a pick, such as telling the next team, connect a workflow. Refer to the Duaer tasks table.

How do managers see overall progress?

Above Duaer cases, each rule has an overview: how many items are open, how many are overdue, how many ended in each outcome, how many cards are to do, put off as Not today, or decided, and the median time from card to decision.

Does Duaer make decisions for the owner?

No. Duaer lays out the item and the options. Only the owner’s click runs a step, and a decision can’t be undone.

Can owners handle Duaer cards in Feishu?

Yes. With Send cards to their owners turned on, Duaer sends the card as a Feishu message and the owner decides with one click.

To turn SOPs into follow-through, write each time-bound step as a Duaer card rule and connect the SOP itself to the knowledge base. When a date comes up, Duaer puts a card in front of the owner, and anyone unsure can ask and get an answer that cites the SOP.

The Duaer employee portal is a separate sign-in address for each organization. Employees see the tasks and decisions workflows push to them and the metrics they follow, and can ask Duaer about them, without opening the workflow editor.

In Duaer, every project comes with one built-in data table named Duaer tasks. A workflow inserts a row to assign a task, push a decision card, or write a note. When the person clicks Done or picks an option in the Duaer employee portal, the result is written back to that row and a waiting workflow continues.
