Expiry date tracking and reminders with Duaer card rules
To track expiry dates and get reminders before certificates, contracts, or equipment lapse, paste the list into a Duaer card rule and set how many days ahead to remind. Duaer puts a card in front of each owner every day before the date. One click records what was done, and the reminders stop.
Why do spreadsheets and calendar reminders miss things?
- The dates live in one person’s spreadsheet. When they are away or leave, the reminders stop.
- A reminder email is sent and forgotten. Nobody knows whether anything was done.
- A sheet with hundreds of rows needs someone to read it every day.
How do you set up expiry reminders in Duaer?
- Open the project › Data tables › Duaer cases and click New card rule.
- Under Start from, pick the closest template, such as reagent expiry or equipment maintenance. For contracts or certificates, pick Blank and fill in Item name (Contract), ID name (Contract number), and Date name (Expiry date).
- Fill in Options: up to four buttons, each writing one status, such as Renewed, Not renewing, and Sent to legal.
- Set Remind days before to 30 so cards start 30 days ahead. With 0, cards appear only after the date has passed.
- Under List, paste from your spreadsheet: ID, owner email, and date, one per line. Choose Time zone and Card language, then save.
What does the owner see?
Each morning, the owner opens the Duaer employee portal and reads “3 things need your decision today.” Each card says which item it is and how many days are left, with the rule, a reading, and its basis. Picking an option runs only that step, writes the status back to Duaer cases, and that item gets no more cards.
When the organization turns on the daily digest, owners also get one summary a day on Feishu, WeCom, or email.
How is this different from a reminder email from a workflow?
If one email before the date is enough, a workflow like Send reminders for contracts expiring within 30 days with Duaer does the job. A card rule does two more things: it records how each item was handled, and anything still open stays on the owner’s list every day.
Who can change a rule?
When a member changes a rule, it applies once an owner or admin approves it. Changing only the owners or pasting a list applies at once. Every change is kept in History, with Restore this version.

Do I rebuild the Duaer rule when the list changes?
No. Paste the list into the Duaer card rule again. Existing IDs get the new owner and date, and new IDs are added.

In Duaer, every project comes with one built-in data table named Duaer tasks. A workflow inserts a row to assign a task, push a decision card, or write a note. When the person clicks Done or picks an option in the Duaer employee portal, the result is written back to that row and a waiting workflow continues.
