Turn SOPs into AI follow-through with Duaer

To turn SOPs into follow-through, write each time-bound step as a Duaer card rule and connect the SOP itself to the knowledge base. When a date comes up, Duaer puts a card in front of the owner, and anyone unsure can ask and get an answer that cites the SOP.

Which SOP steps should Duaer follow up?

Steps with a date, an owner, and a few possible outcomes fit best. For example:

  • Keep samples 30 days and remind the sample manager 3 days before.
  • Send instruments out 7 days before calibration is due.
  • Use up or discard reagents before they expire.
  • Remind sales 3 days before a customer payment is due.

Steps without a date, such as how to do the work itself, belong in the knowledge base where people can ask any time.

How do you turn an SOP step into a card rule?

  1. Take “keep samples 30 days, remind 3 days before”. On Duaer cases, click New card rule and pick the sample template under Start from.
  2. Set Remind days before to 3.
  3. Keep the template options Handled, Request an extension, and Discard, or change them to what your SOP says.
  4. Under List, paste the sample ID, owner email, and keep-until date. The keep-until date is the storage date plus 30 days, which you can work out in the spreadsheet first.
  5. Save. A rule a member submits applies once an owner or admin approves it, and every change is kept in History.

How does an owner check the SOP when unsure?

Connect the space that holds your SOPs to the Duaer knowledge base. The owner asks there, for example “How long can an overdue sample be extended?”, and the answer cites the SOP with a numbered link to the original. Related documents on the card lists knowledge base documents that mention the sample ID.

Does Duaer read SOPs and create rules by itself?

No. People write the rules and an owner or admin approves them. Every rule has someone responsible for it, and every change records what changed and who approved it.

Questions

Can Duaer extract rules from SOP documents automatically?

Not today. Duaer card rules are written by people and apply once approved. The SOP documents themselves go into the knowledge base to answer questions.

When an SOP changes, do Duaer rules need to change?

Yes. Edit the Duaer card rule. The old version stays in History and can be restored.

Follow-through

Expiry date tracking and reminders with Duaer card rules

To track expiry dates and get reminders before certificates, contracts, or equipment lapse, paste the list into a Duaer card rule and set how many days ahead to remind. Duaer puts a card in front of each owner every day before the date. One click records what was done, and the reminders stop.

Industries

Lab sample retention management with Duaer

Lab sample retention management comes down to three things: every sample has a keep-until date and an owner, someone is reminded before it lapses, and what happened is on record. In Duaer, start a card rule from the sample template and paste the sample list. Owners see a card every day from a few days before the date, pick Handled, Request an extension, or Discard, and the outcome is recorded.

Industries

Equipment calibration due tracking with Duaer

Equipment calibration due tracking means every instrument has a due date and an owner, someone is reminded in time, and each calibration, send-out, or removal is on record. In Duaer, start a card rule from the calibration template and paste the instrument list. Owners get a card every day before the date and pick Calibrated, Sent for calibration, or Take out of service.

Knowledge base

AI answers with citations and no hallucination: how Duaer does it

To get AI answers with citations and without made-up facts, do three things: answer only from documents the person may read, mark which file each statement comes from, and give no answer when there is no source. The Duaer knowledge base answers this way by default.

Data

Give people tasks in Duaer with the tasks table

In Duaer, every project comes with one built-in data table named Duaer tasks. A workflow inserts a row to assign a task, push a decision card, or write a note. When the person clicks Done or picks an option in the Duaer employee portal, the result is written back to that row and a waiting workflow continues.
