Employees can’t find company information? Let them ask Duaer
Employees can’t find company information because it is spread across several systems under names they wouldn’t guess. Connect those places to the Duaer knowledge base and let people ask in their own words. Duaer answers, links the source, and shows who else to ask.
Why can’t employees find what they need?
- Information sits in Feishu, shared drives, SharePoint, and email attachments, and nobody knows which one to search.
- File names don’t match how people talk. They search for “expenses” and the file is called “Spend Policy v3”.
- The same policy exists in several versions, and it is unclear which one is current.
- So people ask around in group chats and wait for whoever knows.
How do people find it in one question?
- Connect the systems that hold your information to the Duaer knowledge base. Feishu, WeCom WeDrive, Google Drive, and Microsoft 365 all work. Refer to Build an AI assistant on your company documents.
- Tell people to ask in their own words, such as “Can I take paid leave during probation?”. Duaer searches by meaning, so the words don’t have to match the file name.
- Each statement in the answer carries a number that opens the original, so anyone can check it.
- For questions that come up again and again, save the best answer as a verified answer. Duaer shows it first, and when its review date arrives (180 days by default) marks it due for review so someone checks it again.
- Look at Search analytics now and then: what people search for most, and which documents nobody opened in 90 days and nobody changed in six months. Remove what is stale and fill what is missing.
What if nobody wrote it down?
Next to the results, Duaer lists people under Ask: up to five colleagues who wrote or edited those documents. When the documents don’t answer the question directly, at least people know who to ask instead of polling a group chat.
Where do people ask?
- Members: on the Knowledge base page in Duaer.
- Employees: under Knowledge base in the Duaer employee portal, or with Ask Duaer.
- Feishu: in a private chat with Duaer, or by mentioning it in a group. Group questions are answered privately, so others don’t see the answer.
- WeCom: in a one-to-one chat with Duaer.
Questions
Can Duaer search group chats?
Feishu group chats can be turned on; they are off by default. Duaer then reads the last 30 days in up to 200 chats the bot is in, and only members of a chat can find its messages.
Duaer can’t find a file. What should I check?
Check that the file is in a source connected to Duaer and inside what is indexed, and that you can open it in the original system. Files over 20 MB or in other formats are indexed by title only.
